What we collect

Information you give us

The enquiry form on our contact page is provided by HubSpot, and the information it collects is whatever that form asks for — typically your name, email address, phone number, company, and a description of what you need. Submissions go into our HubSpot account, where we use them to reply to you and to keep track of the conversation.

Because the form is hosted by HubSpot, HubSpot receives that information at the same time we do, and processes it on our behalf under their own privacy terms.

If you email, call, or message us on WhatsApp instead, we hold whatever you choose to send us in that conversation, and it does not pass through HubSpot.

Information collected automatically

HubSpot’s form script records technical information when the form loads and when it is submitted — including your IP address, browser, and the page you submitted from — which it uses for spam prevention and analytics. HubSpot may also associate a submission with a visitor identifier stored in your browser (see Cookies below).

Our hosting provider keeps standard server logs, which include IP addresses and request details, for a limited period for security and diagnostic purposes.

Analytics

This website uses Google Analytics 4 to understand which pages people visit and which pages produce enquiries. IP anonymisation is enabled. We track the following interactions: contact form submissions, clicks on phone numbers, clicks on email addresses, clicks on WhatsApp links, and clicks on call-to-action buttons.

We do not use advertising or remarketing cookies on this website. We do not run Google Tag Manager, Facebook Pixel, LinkedIn Insight Tag, session recording, or heatmap tools. If that changes, this page will be updated first.

Analytics runs only when a measurement ID is configured. If you would rather not be included, browser-level tracking protection or an ad blocker will prevent it, and the website works identically either way.

Cookies

The website itself sets no cookies. It has no login, no shopping basket, and no preference storage, so there is nothing for us to remember between visits.

Two third parties may set cookies:

• HubSpot — the enquiry form on our contact page sets cookies to prevent duplicate and automated submissions, and to recognise you if you return and submit again. These are set when the contact page loads.
• Google Analytics, where enabled — sets cookies to distinguish repeat visits.

Blocking either with browser tracking protection or an extension is fine. If HubSpot is blocked, the enquiry form won’t load — the contact page will show our phone number, email address, and WhatsApp link instead, and those reach us just as quickly.

How we use your information

We use what you send us to:

• Reply to your enquiry and discuss whether we can help
• Prepare a scope and quotation if you ask for one
• Deliver services if you become a client, and communicate about that work
• Meet our accounting and tax obligations, where a transaction has taken place

We do not add enquiries to a marketing mailing list. We do not send newsletters or promotional sequences unless you explicitly ask to receive them. We do not sell, rent, or trade your information to anyone, in any circumstances.

Who processes your information

We use a small number of third-party services to operate this website. Each receives only what it needs:

• Vercel — hosts this website. Processes server logs and request data.
• HubSpot — hosts our enquiry form and stores submissions. Processes everything you enter into that form, plus the technical details described above.
• Google Analytics — usage statistics, where enabled. Processes anonymised usage data.

Some of these providers process data outside India. They are used because they are appropriate for the purpose and provide standard contractual protections; we do not transfer your information anywhere else.

We also use standard business tools for email and file storage in the course of serving clients. We do not grant third parties access to client information for their own purposes.

How long we keep it

• Enquiries that don’t become projects — kept in our HubSpot account for up to two years, in case you get back in touch, then deleted.
• Client records — kept for the duration of our working relationship and afterwards as long as required for accounting, tax, and contractual purposes.
• Server logs — kept for a short period by our hosting provider, then rotated out.
• Analytics data — retained according to our Google Analytics retention setting.

How we protect it

This website is served only over HTTPS. Form submissions are validated on our server, not just in your browser. Access to our email and business systems is restricted to the people who need it, using individual accounts rather than shared credentials. Our API keys and credentials are held in environment configuration and are never present in the code delivered to your browser.

Your rights

You can ask us to:

• Tell you what information we hold about you
• Correct anything that’s wrong
• Delete your information, where we’re not required to keep it
• Stop contacting you

Email hello@asterainfotech.com and we’ll respond within 30 days. There’s no charge, and we won’t ask why.

Children

This website and our services are intended for businesses. We do not knowingly collect information from anyone under 18. If you believe a child has sent us information, contact us and we will delete it.

Links to other websites

Our blog and service pages sometimes link to other websites. We’re not responsible for their privacy practices, and we’d suggest reading their policies before submitting anything to them.

Changes to this policy

If we change how this website handles information, we’ll update this page and change the date at the top. Material changes will be described here rather than made quietly.
